UPI Screenshots vs Razorpay: Stop Verifying Payments by Hand
A lot of small businesses in Guwahati take payments the same way. The customer pays by UPI, sends a screenshot on WhatsApp, and someone at the business opens the bank app to check that the money actually arrived. With five orders a day that is a minor chore. With fifty it takes over somebody's afternoon, and mistakes start to slip through.
This post covers why screenshot checking breaks down and how a payment gateway like Razorpay replaces it.
Why UPI screenshots are a weak proof of payment
A screenshot can be edited
A screenshot is an image, and images are easy to change. The amount, the time, or the transaction ID can be edited in a few minutes with a free app. A failed or pending payment can also look like a successful one at a glance. The only reliable check is your own bank statement, so every order needs someone to cross-check it there.
Matching payments to orders takes time
When several customers pay similar amounts on the same day, working out which payment belongs to which order is slow. Partial payments, refunds, and customers who pay from a family member's account make it harder.
The customer waits
Until someone confirms the payment, the order sits on hold. If the owner is busy or it is late at night, the customer gets no confirmation and starts wondering whether the payment went through at all.
Your records end up scattered
Payment proof lives in WhatsApp chats, bank SMS alerts, and maybe a spreadsheet someone updates when they remember. At the end of the month, nobody can say for certain who has paid and who hasn't.
How a gateway confirms payments for you
With Razorpay built into your website, the customer pays on a checkout page and your system gets the confirmation straight from Razorpay. Nobody on your side has to look at a screenshot.
The flow works like this:
- Your website creates an order with Razorpay for the exact amount.
- The customer pays through Razorpay checkout using UPI, a card, net banking, or a wallet.
- Razorpay sends the result to your server. The response carries a signature generated with a secret key that only your server and Razorpay know.
- Your server checks that signature before marking the order as paid. A forged or tampered confirmation fails the check and gets rejected.
For extra safety we also set up Razorpay webhooks. These are messages Razorpay sends to your server whenever a payment succeeds or fails, even if the customer closes the browser before the page finishes loading. Each webhook carries its own signature, which your server verifies the same way.
Once the payment is verified, the system can update the order, email or message a receipt to the customer, and record the transaction in your dashboard, all without anyone stepping in.
What changed for Reiki Crystal Assam
Reiki Crystal Assam used to collect payments in cash or through informal UPI requests. As part of rebuilding their website, we added Razorpay checkout with signature-verified webhooks and automated receipts. Payments no longer need checking by hand, every customer gets a receipt automatically, and checkout stays open around the clock. The Reiki Crystal Assam case study has the details.
Is a payment gateway worth it for a small business?
If you take a handful of payments a month from people you know, UPI and a quick bank check may be enough. A gateway starts to pay for itself when any of these sound familiar:
- You or a staff member spend time every day matching screenshots to orders.
- You have had a payment that looked real and turned out not to be.
- Customers order or book outside business hours and wait for confirmation.
- You can't quickly answer who has paid this month.
Razorpay charges a fee on each transaction, so compare that against the hours your team spends on verification and the cost of a single missed or fake payment. Their current rates are listed on Razorpay's pricing page.
