Moving School Results Online: A Guide for Schools in Assam

Result season at most schools in Assam still runs on paper and spreadsheets. Teachers enter marks for every exam cycle, someone works out the weighted final score for each student by hand, marksheets get printed one by one, and parents come to school to collect them. Every step is slow, and every manual calculation is a chance for a mistake that ends up on a child's report card.

We recently built an online report card system for a well-known higher secondary school in Guwahati. Here is what their old process looked like, what we built, and what to think about if your school is considering the same move.

Where the manual result process breaks down

Weighted scores are easy to get wrong

Most schools don't base the final result on the annual exam alone. This school combines four assessment cycles: Unit Test 1, the Half Yearly exam, Unit Test 2, and the Annual exam, each with a different weight. Doing that calculation by hand for every subject and every student, across several streams and sections, takes days, and one slip in a spreadsheet formula can change a student's percentage.

Printing and handing out marksheets takes days

Once the numbers are final, each marksheet has to be printed, checked, signed, and handed out. Parents who can't come to school on the day have to come back later, and a lost marksheet means printing it again.

Students have no way to check results from home

With a paper-only process, a student who wants to see their marks has to wait for the printed copy. There is no secure way to look them up online, and no record they can return to later.

The detail gets lost

Many printed marksheets show one number per subject. For science and other subjects with practicals, students and parents want to see the theory and practical marks separately, and that breakdown often doesn't make it onto the printed sheet.

What we built for the school

The school wanted one place to manage results for the whole year and an easy way for students and parents to see them. The system we built does the following:

  • It stores marks for all four assessment cycles in one place instead of separate sheets per exam.
  • It calculates the final score automatically with the school's own weighting: 5% Unit Test 1, 10% Half Yearly, 5% Unit Test 2, and 80% Annual.
  • Students log in, choose their stream, class, section, and name, and see their marksheet straight away.
  • Each marksheet shows subject-wise theory and practical marks, totals, and percentages.
  • It works on any phone, tablet, or computer, so nobody has to come to school just to see a result.

Teachers enter marks once, the system does the arithmetic the same way every time, and results reach students the moment the school publishes them. You can see screenshots of the portal in the school report card system case study.

What to look for in a school result system

If you are comparing options for your school, these questions will tell you a lot about whether a system will fit how you actually work:

  • Can it follow your school's own weighting rules, or does it force a fixed formula on you?
  • Does it handle streams, classes, and sections the way your school organises them?
  • Can it show theory and practical marks separately where a subject needs it?
  • How do students reach their own results, and how does it stop them from opening someone else's?
  • Does it work well on a basic phone, since that is how most parents will open it?
  • Can it grow later into attendance, fees, or other parts of school administration?

Off-the-shelf software can work for some schools. If your school has its own assessment rules or report format, a system built around those rules saves you from bending your process to fit someone else's software.
